How to choose cloud storage

Cloud storage has become part of ordinary life — photos, documents, backups — and there is no shortage of options. Choosing well starts not with the advertising but with an honest look at how you actually use your devices.

Short answer

Five criteria decide the question: capacity and price that match what you really store, fit with the device ecosystem you already live in, sharing and collaboration features, the provider's approach to privacy and security, and the ease of moving your data out later. For most people the most practical starting point is the service built into their phone's ecosystem.

Measure the need before you shop

Answer two questions before comparing services: what are you going to keep, and how much room does it take? A few gigabytes covers documents alone, while a photo and video archive built up over years runs into hundreds of gigabytes. The storage figures on your phone and computer are enough to produce a rough total.

This measurement matters, because the free tiers services offer (usually somewhere in the 5–15 GB range) look sufficient at first and then fill up quickly once photo backup is switched on. A realistic estimate spares you the scramble to change plans later.

You do not have to look far to see your current usage: the storage breakdown in your phone's settings already lists how much space photos, videos and apps occupy. You probably also have a cloud account already; how full it is tends to be the most honest indicator of what you actually need.

Balancing capacity against price

When comparing paid plans, converting the monthly price into a cost per gigabyte strips away the misleading shine. Remember that annual payment works out cheaper with most providers, and that family plans spread one allowance across several people, lowering the cost per person.

The steps between tiers matter as much as the headline price: 200 GB may be plenty today and 2 TB necessary in two years, so check whether the next tier up is reasonably priced on the service you are considering. Work out what happens when an introductory offer ends, too.

Ecosystem fit and everyday ease

The best cloud is the one that works without your noticing. If you use an iPhone, Apple's service integrates with the least friction; on Android it is Google's; if you live in Windows and Office, it is Microsoft's. Photos back themselves up, documents open from inside the apps you already use.

You can also run a small trial before deciding: use the candidate's free tier for a week or two with real work. Does photo backup run without fuss? Is folder syncing on the computer dependable? Does the app feel effortless? That experience tells you what a feature table cannot — whether you can live with this service.

Sharing, collaboration and version history

If you share files with others regularly, look at these features: can a shared link carry a password and an expiry date, can folders be shared, can several people work on the same document at once? A shared album may be the deciding factor for family photos, simultaneous document editing for teamwork.

Version history and how long the bin keeps things are the quiet heroes: how many days back can you go to recover a file you deleted or overwrote by mistake? These periods differ markedly between services.

One detail about family plans is reassuring to know: the allowance is shared but the files are not. Family members cannot see one another's files; they simply draw from the same total. Shared albums and shared folders exist separately for the photos and documents you do want to pass around, so privacy and sharing can coexist on one plan.

Privacy, security and the way out

The minimum expectations on security are that data is encrypted both in transit and at rest, and that the account can be protected with two-factor authentication. If privacy matters especially to you, there are services offering end-to-end encryption, where even the provider cannot read your data; that extra protection usually costs you some convenience.

The last criterion is the one most people skip: the exit. Can you download everything in bulk, or move it to another service? Before uploading hundreds of gigabytes somewhere, seeing that leaving is possible is a long-term reassurance.

Is free cloud storage trustworthy?

The free tiers of the large services run on technically the same infrastructure as the paid ones; the difference is capacity and extra features. The real caution is not to entrust important data to obscure services whose business model is unclear.

How much capacity do I need for photos?

Start from the size of your phone's gallery; as a rough sense of scale, someone who photographs a lot can accumulate tens of gigabytes a year. Your existing archive plus a few years of growth is a sensible opening figure.

Does it make sense to keep data in two different clouds?

For important data it can add a layer, but managing two services consistently is hard in practice. For most people one well-chosen cloud plus an external drive backup is a more sustainable arrangement.

What happens to my data if my cloud service shuts down?

With large services this risk is low, and a migration window is normally expected if it happens. Even so, the possibility is a good reason never to keep the only copy of anything in a single service, and to choose services that offer bulk download.
